Leadership Team Meeting Summary
November 21, 2017

Leah Matthews welcomed everyone and began the meeting at 7:03 p.m. on Tuesday, November 21, 2017.

Leadership Team and Staff Members Present: Leah Matthews, Teresa Phillips, Paul Amos, Cheryl Bratten, Cory Culver, Travis Gianchetta, Carrie Henderson, Frank Kyle, Steve Larkin, Charlotte Rexroad, Joanna Sims, Dennis Perry, Jason Micheli, Karla Kincannon, and Richard Bass. Debbie & Mark Husband, Nate Truitt, Harry Evans, Michelle Matthews, Becky Connell, and Christian Burnette were absent. Lew Ashley observed the meeting.

I. Leadership and Faith Development

The team began the meeting discussing a section of the book Canoeing the Mountains by Tod Bolsinger. Cory Culver led the group in a discussion that focused on Aldersgate’s mission, on resisting insular tendencies, and on thinking strategically about outreach in the community.

II. October Meeting Minutes

Leah reminded the team that the October minutes were available on the Aldersgate web site.

III. Financial Report & Collingwood Facility Repairs

The team reviewed the October financial report with an emphasis on our current financial position. Jason stated we are on track to cover our financial needs through the Close the Gap campaign. Additional communication will be sent to the congregation with specific ways to help us meet our goal.

Leah provided a summary of the maintenance report given in at the October 10 meeting. Cory Culver reported on the research, information, and recommendations prepared for the Leadership Team by the task force assigned to review options on financing the needed repairs. The following motion was presented by Cory: “1) to approve implementing repairs to the HVAC system and installing controllers while postponing repairs to the sanctuary lighting, and 2) to approve financing the repairs through the best interest rate and terms available from Marlin Equipment Finance (formerly Horizon Financial) while ensuring there is no penalty for prepayment.” The motion was seconded by Travis Gianchetta and carried with none opposed.

IV. Founders Remodel Update

Terri provided an update on the Founders renovation. Most of the work is complete and an inspection by the Fire Marshal is scheduled for November 29. If the inspection passes, the final inspections will be completed and an occupancy permit will be issued. There are plans to have a dedication ceremony on Sunday, December 10, at each of the services.

V. Worship Plans

Paul Amos provided an update on the plans for the Christmas Season. Decorating of the church will be this Saturday, November 25, beginning at 9 a.m. The 4th Sunday of Advent falls on Christmas Eve with one Sunday morning service at 10 a.m. Christmas Eve services will be held at 1, 3, 5, 7, 9 and 11 p.m. Aldersgate will offer overflow seating in Founders hall, pending the permits. Volunteers are still needed for the services. Animals will be on site from 1-7 p.m. Two police officers will be on hand for the evening to assist with securing the offering and other areas as needed. It was suggested that Aldersgate may need assistance with traffic at the Collingwood Road entrance after the sun goes down due to the Collingwood Lights being on this year. Terri was asked to relay this request to Becky who secured the police assistance.

A team of volunteers has put together the equipment necessary to live stream worship services to Facebook. At this time, the services streamed are Saturday@530, the 9:30 a.m. contemporary service and the 11 a.m. traditional service. The full services are available on Facebook and a condensed version, just the sermon, is available on the website.

Paul let the team know an email was received after the tragic shooting in Texas asking about Aldersgate’s response strategy. Jason stated that it was discussed in that afternoon’s staff meeting and that ushers would receive additional training. Elaine and Becky are working together to find dates to execute a fire drill for the Sunday School classes and the worship services. They will also ensure evacuation plans are in each classroom.

VI. Faith Development

Karla Kincannon updated the team on the work of Aldersgates’s Youth Director, Ahnna Lise Stevens-Jennings. Ahnna Lise joined the Aldersgate staff in August and hit the ground running. Several of her initiatives are:

– Restructuring the youth groups and their meeting days/times
– Create a calendar for the entire year
– Plan curriculum
– Introduce covenant discipleship model to small groups
– Participate in a Youth Ministry Cohort for training and support
– Recruiting of youth & leaders
– Restarting the Jeremiah Project
– Develop a relationship with the youth & Rising Hope
– Craft a vision for the youth ministry future

The welcome task force that was created to help her during her transition ends in December. Ahnna Lise has set up a youth council to continue the work moving forward.

VII. Faith Development

The Leadership Team received an update on the work of the Connections Council. Steve Larkin updated the team on the attendance numbers for Wednesday Night Dinner and some of the difficulties in getting folks to attend. Communication has begun advertising the dinner beginning at 6:15 p.m., but meals will be served until 7:30 p.m.

A new idea, discovered through one of Jason’s speaking events, is being explored. Steve asked the teams’ thoughts on providing breakfast on Sunday morning. Several team members were excited by the idea of Sunday breakfast. Steve will work with his team to gather more information and get back to the Leadership Team at a future meeting.

The connections team is also looking at an update to the website. The normal life cycle of a web site is 2-3 years and the current model is over 2 year old. Richard has been talking with a development group in Alabama to see what is available and how it could make our site more accessible/user friendly. An example of their work is Anderson Hill Church in Ohio.

Steve has also been working on the Kingstowne Communication Strategy as discussed at our October meeting. Team members include Scott and Cheryl Warner as well as Sarah Williamson. Team members met with the Kingstowne Leadership Team and will be attending services to help form a plan for moving forward.

VIII. Other information

Frank Kyle informed the Leadership Team know that Bill Austin has been elected the new UMM President.

IX. Staff Parish
The Leadership Team met in closed session to review and discuss personnel matters.
